Adding Barcodes to a Review File
When importing a list of item or patron barcodes, keep the following in mind:
You can import barcodes using either a .txt or .csv file.
Include the barcode number only; do not include the field group tag.
Scan barcodes to a text file or .csv file.
Note: when loading the barcode list, there can be no other information in any other columns or those rows will error out.
Look for a review file large enough to hold your file of barcodes. Highlight the file you want to use for the process. Click on the Import Records button.
Once you click on the Import Records button, the Import Records box will appear. It will list the review file number. You will have to name the review file. The Identifier will default to Barcode. Change the Store Record Type to Item or Patron depending on the records in your file. Click on the Choose File button.
Look for the file of barcodes on your computer. Once you find the file, click on the Load button. Note: you can use a file with the .txt or .csv file extension in order for this process to work.
You will get the Please wait … box. For this example, we had a list of 2369 barcodes. This box is listing that we have 2369 barcodes to load. This process might take a little while depending on how many barcodes were in your file.
After the file of barcodes has been loaded into the review file. You may get a message that there were barcodes that did not match any records (see Error Messages During Loading). It would give you the option to Download these barcodes. If you did not have any records with issues, you would not see this message.
Once you click on the Download button you would click on the Import button to put the barcodes into the review file. If you did not have to Download any entries, you could still click on the Import button.
Check to see if the Current Records match the number of records loaded for this process. In this example, the current records showed 2212 records in this review file. This is 157 less than the 2369 that the system was originally loading. The file of barcodes that were downloaded from the system include 157 records. You would now have a file of barcodes that are not in the system.
Error Messages During Loading
When you load a .csv or .txt file, Create Lists processes each entry in the file. If any entries cannot be loaded, Create Lists displays an error message stating there are one or more entries that:
Don't match any record
Match multiple records
Don't fit in the review file
For example:
To download the error file:
Click Download. The system opens the Save file dialog box.
Enter a name for the error file.
Navigate to the location where you want to save the file.
Click Save. Create Lists saves your file and returns you to the Import Records dialog box.
If you are using Sierra Web, the system automatically saves the file to your Download folder.
