List Cleanup Project 2022

In 2022 Marmot will work on a project to clean up Create Lists and related saved searches, exports, lists, and sorts. Since we are sharing the review file system, we need to be able to keep the files clear of old obsolete lists.

Naming Review Files

If we are going to keep lists cleaned up, we need to know specifically who created each review file.

• If you are using a shared login, then include your personal name in the list name

• If you have an individual login, then we can see who created the list

Time limit on Review Files

Review files will be emptied after 6 months unless they are owned.

• How to own a list

Naming Saved Searches, Sorts, Lists, and Exports

These are the searches, sorts, lists and exports that you can save and apply to review files in the future.

We have limited numbers of these, so we need to clean up unused saves. Also they get cluttered and as a result more difficult to use. The system keeps very little information about these, so we need to use the naming system to keep track of how is using them and how old they are. Our saves now have many unhelpful names like “weeding.” We have no idea how old that save is, who created it, or if it is still in use.

Therefore these rules should be followed when naming saves:

• Identify your library

• Include your self

• Include a date (can be just a year)
