Item Record Fixed Length Field Definitions (Sierra)

The following information describes the fixed-length fields found in item records.

Item Fixed Length Fields

Numbers are associated with the Fixed Fields when choosing a Field to Create Lists.

The fixed-length fields always appear in numerical order. For example, the EXP DATE patron record fixed-length field is field #43, while the PTYPE fixed-length field is field #47. Therefore, EXP DATE will always appear before PTYPE.

Copy #:

Indicates which copy of the title corresponds to the item record. They are commonly used in item records attached to bibliographic records with multiple items.

ICODE1

Your library chooses the number listed in this field.

ICODE2

The “n” is used as an item suppression code. Here is more information about the ICODE2 fields.

ITYPE

The type of item. Used to define groups of items that may circulate differently.

PRICE

Contains the price of the item.

OUT DATE

This is the date and time the item was checked out. Sierra updates the OUT DATE when the item is checked out and again when the item is checked in.  The information from this field gets moved to the LOUTDATE when the item gets checked in. 

If the item is not currently checked out, there will be no information in the OUT DATE field.

OUT LOC

This is the stat group associated with a Sierra login where the item was last checked out or is currently checked out. Here is more information about the MLN1 OUT LOC.

DUE DATE

This is when the item is due.

PATRON#

The record number of the patron who has the item checked out (displayed without the last digit, the check digit). '0' if the item is not checked out.

LPATRON

The record number of the last patron to check out the item (displayed without the last digit, the check digit).

LCHKIN (Last Checkin)

This shows the date and time of the last time an item was checked in.

INVDA (Inventory Date)

The date the item was inventoried and found on the shelf.  Here is more information about MLN1 Inventory.

IN LOC

This is the stat group associated with a Sierra login where the item was last checked in. This field is updated when a check in unlinks the item record from the patron record.  If the item’s status is set to IN TRANSIT, a check in at the destination location does not update the IN LOC field.

# RENEWALS

# RENEWALS: This is the number of times the item has been renewed by the patron who currently has the item checked out.

# OVERDUE

The level of the last overdue letter sent to the patron who has the item checked out.

ODUE DATE (Overdue Date)

The date of the last overdue notification sent to the patron.

RECAL DATE

The date the item was recalled (blank if the item has not been recalled). When an item is recalled, the system allows a new, earlier due date for the current loan and would generate a recall notice to be sent to the patron.

TOT CHKOUT

This keeps a running total of all the checkouts for an item regardless of the library location where the item was checked out. Renewals are not counted in the TOT CHKOUT field.

TOT RENEW

This is the total number of times an item has been renewed.

LOUTDATE (Last Out Date)

This is the last check-out date for an item. This is updated during check-in.

LOCATION

The branch location code for the item. Codes must be predefined in the Branch (location) codes table.

LOANRULE

The loan rule number under which the item is currently checked out. '0' if the item is not checked out.

STATUS

IMESSAGE

A code entered in this field causes the system to display the code's definition (i.e., the message) during checkout or checkin of the item. If the code is a space or hyphen, no message will display.

OPACMSG

Codes and definitions are added by Marmot for this field (with the exception of the code for 'r' rental).

The definitions are displayed as messages in the OPAC. If OPACMSG is r (rental), the system will bill the patron for the item based on the length of time the item has been checked out (i.e., rented).

Do not use for non-rental items. The definition of 'r' cannot be changed. Changing the definition does not change the software's action.

YTDCIRC (Year-to-date circ)

This will show all the checkouts for this calendar year. 

On January 1st (Public Libraries) or July 1st (Academic Libraries), there is a year-end roll-over of circulation statistics. 

The LYRCIRC is zeroed out and those numbers are moved to the YTDCIRC.

LYRCIRC (Last year circ)

This is a tally of the checkout circulation of an item from the previous calendar year.

AGENCY

The AGENCY to which the item belongs.

Sticky Status

 

MLN2 Libraries only

The item's sticky status. If the Sticky Status feature is enabled, when an item is checked in, the system checks for the presence of a Sticky Status field in the item record. If one exists, the system changes the item's status to the code indicated in the Sticky Status field. For more information, see Using the Sticky Status Feature.

RECORD#

Record number associated with the item.

CREATED

Date the record was created.

UPDATED

Date of the last update to the record. The system updates this field any time the record is edited or involved in a transaction.

REVISIONS

Number of revisions to the record.
