Bibliographic Record Suppression Codes (Sierra)

This document provides an overview of bibliographic suppression display codes for the MLN1 & MLN2 Sierra systems. It should be noted that not all codes are used for suppression purposes.

The desired results of any suppression question determine whether to suppress records. The “Rules for Suppression” contains the logical rules determining whether a bibliographic record is suppressed from display in the public catalog and the Z39.50 server. Since Marmot has two shared Sierra systems (MLN1 & MLN2), suppressing a bibliographic record will affect the display of the bibliographic record in the public catalog for any library with an item attached to it. 

MLN1 Bibliographic Suppression Display Codes

The Bibliographic suppression fixed-length field for the MLN1 libraries is labeled SPEC’L USE. The desired result of using a suppression code in the bibliographic record is to keep the record from displaying in the public catalog. The public catalog is the  Classic Catalog or Pika Catalog. However, sometimes, these codes are not used for suppression. 

The bibliographic fields used for suppress for the MLN1 libraries is the SPEC'L USE field
Once you double-click on the box next to the SPEC'L USE field a Select box will appear with a list of codes

MLN2 Bibliographic Suppression Display Codes 

The Bibliographic suppression fixed-length field for the MLN2 libraries is labeled BCODE3. The desired result of using a suppression code in the bibliographic record is to keep the record from displaying in the public catalog. The public catalog is the Classic Catalog or Pika Catalog. However, sometimes, these codes are not used for suppression.

Suppressing Bibliographic Records FAQs

  1. What should I do if a cataloged record does not appear in the index?

    1. Sometimes, correcting indexing issues can be done by suppressing and then un-suppressing bibliographic records. While this method may not always solve the issue, it is a helpful starting point.

  2. What will happen if I suppress a bibliographic record that does not have a suppressed item record?

    1. If the bibliographic record has only one attached item, then suppress the bibliographic record. Both the bib and the item will be suppressed from the public catalog.
