Working Group Assignments

  • Meeting with State Library folks to discuss state-wide stats initiative (IN-PROGRESS)

  • Create IPEDs supplement (DONE)

  • Audit of data and reports that get collected (IN-PROGRESS)

    • Process data to look for themes and gaps

  • Generate the list of all Marmot services with the cost/benefit information (IN-PROGRESS)

  • Continue Fee Restructuring Project (IN-PROGRESS)

  • Audit the reports that libraries of various types need (board, community, state, etc.) and then use that as a platform to determine the amount of time/retention needed to fulfill those needs. We primarily need to know how far back the various types of reports are needed. For example, the year is 2030. Do you need the more detailed circ information from Marmot, or is more general information from LRS all that is needed?

  • Ask members to develop a set of common research questions that we might be able to centralize data for.

    • Budgeting needs

    • Hiring more staff

    • Providing proof of need

    • Hours open for a library

  • Create a data ownership policy that identifies the particular owners of the data when it is aggregated in systems like Sierra

  • Determine/Become clear on the data that is confidential

  • Libraries that are part of municipalities have a clear definition of data ownership and how to respond to requests for data

  • Utilize the document that Gina from Boulder used as a data steward to help inventory data sources

  • Formalizing a policy that states this intent and the procedures. (privacy policy)

  • Determine which data sources have PII included from the data source audit

    • Determine what steps need to be taken to transform the data to remove the PII

  • Determine the definitions of PII

    • State has a more strict definition than Federal

  • Create standard documentation and definitions to help create a clear understanding of how to access the data

  • These goals also relate to the data source audits that we intend to do. Once the data source audits are completed at the library level, we can then determine what can be done with the data.

  • Build a catalog of the kinds of things that libraries are building for reporting purposes.

    • Include the most recent examples in a monthly/quarterly newsletter

  • Jira update question:

    • The helpdesk centers on existing service programs. Can we update the request types to include requests for statistics that are not tied to a Marmot service program?

  • Create a data map of itypes for Tableau to material types that are asked for in the annual reports (PLAR, IPEDS, etc.)

  • Create a custom set of instructions specific to Marmot libraries on how to pull data for the various reports. 

  • Answer the question: What is consistency in regard to reporting to different agencies? (i.e. Board vs State)
