YouTrack Notifications and Dashboards

This documentation describes how to create and configure notifications and dashboards in YouTrack, the system Marmot’s Pika team uses for development management and ticketing.

Subscriptions and Saved Searches

You can set up notifications for saved searches, where you receive email updates when tickets meet your preferred search criteria. This can be helpful if you want to track all tickets related to your library or if you want to track certain topics that other users may have reported. 

Execute a search for your topic or library. You can apply several search terms at the same time, separated by hashtags. A hashtag we find useful is #Unresolved, which looks at tickets that haven’t been completed or resolved. 

From search results, click on the bookmark icon on the far right of the search bar to save your search. 

 

 

You will return a pop-up window. Title the saved search as you wish and click save.

After you’ve saved your search, click on the icon at the top right of the YouTrack page to open up your profile.

Navigate to the Notifications tab from the profile page. 

Scroll down to the Subscriptions heading and click on New subscription. You will return a pop-up window, where you can select your saved search from the option menu.

Select your preferred notification options for your saved search and click Save.

Your new subscription and the notification settings you have applied will appear in the Subscriptions heading of your profile. Edit subscription settings by clicking on the pencil icon next to the saved search.

Pinning Saved Searches

You can also pin any saved searches in YouTrack so that they’re easily accessible from the left-hand navigation bar that’s available from any page in YouTrack. The Pika team has created an Unresolved saved search that we recommend all users pin for easy access and you can pin any other saved searches to this section as well.

Click on Issues from the navigation bar at the top of YouTrack.

On the left-hand side, expand the Saved Searches menu by clicking on the arrow icon on the left of the heading. Click on the number badge on the right to Show More saved searches that you can pin.

 

 

Choose the Saved Search that you would like to pin and click the star icon to pin it. You will see the pinned saved search in the left hand bar after you click the star icon. If you click on a saved search, you will be directed to a new page of search results that lists all issues or tickets that meet the criteria of that saved search.

 

 

If you want to remove a pinned saved search, click on the star icon to Remove from favorites.

Dashboard Widgets

You can use widgets to your YouTrack Dashboard to keep track of tickets of interest. You won’t receive notifications for items that fall into your widgets, but these can act as helpful snapshots of all tickets that meet certain search criteria when you’re logged in to YouTrack. 

When you login to YouTrack, the Dashboard page is the default landing page. You can also access your dashboard by clicking on Dashboards from the navigation menu at the top of YouTrack.

Adding a dashboard widget

From the Dashboard homepage, click on Add Widget on the right hand side. Select the Issues List option from the dropdown menu.

 

 

In the pop-up you can choose a Project, execute a new search within a project, or you can use a previously saved search. As you start typing search terms or tags, you’ll see suggestions that you may or may not want to use. If you have saved searches that you created beforehand, these will also populate in the suggestions. Once you’ve created the query for your widget, click Save at the bottom of the popup window. Your new widget will appear on your dashboard. 

 

 

When you click on an issue or ticket from a Dashboard widget, that ticket will open in a new tab in your browser. You can set up as many widgets in your Dashboard as you’d like. Drag and drop widgets to reorder and organize.
