Search Scope Location Configuration

This documentation describes how to configure special locations in Pika to use for scoped searching or unique catalog interfaces.

Purpose of Search Scope Locations

Search scope locations can be created in Pika to serve several different purposes.  

  • Libraries can enable the search scope location as a search source in the basic search dropdown menu. 

  • An unique interface for all consortia members that contains only the search scope’s materials.

    • This option allows for basic customized theming and browse categories unique to the search scope. 

  • An unique interface limited to only the materials owned by a given library.

Unique children’s catalogs and search sources are the most common use of search scope locations.

It’s recommended that Marmot staff handle initial configuration for search scopes with guidance from the requesting library. Please submit a Marmot Help Desk request to initiate this process.

Search Scope Configuration

In order to create a search scope, a unique location must be created in Pika. The Library Location Configuration documentation will act as a helpful guide when configuring a Search Scope Location.

Go to Pika Configuration and Location from the left sidebar.

Use the Add New Location button to create a new location to configure for the search scope.

Basic Configuration

The Code should be a unique value and follow the naming convention already used by the library.

In the example below, all Bemis Public Library locations start with the prefix be, so the Code value for the search scope location also starts with be.

The Display Name should be unique and accurately describe the search scope.

In the example below, the search scope is for Bemis Public Library’s juvenile collection, so it’s titled as such in the display name, which also populates the search toggle buttons.

The location will belong to the same home library system as a physical branch. Choose the appropriate library from the dropdown menu for Library.

Disable the Show In Locations and Hours List option. Search scope locations are not physical locations, so patrons should not see the search scope location listed.

Searching Configuration

Open the Searching configuration options by clicking on the Searching tab.

In the root menu of the Searching tab enable the Restrict Search by Location option. The Restrict Search By Location option forces only items owned by the location to display in search results at the location level. This setting works in conjunction with the Records Owned and Records Included configuration at the location level.

Search Box Configuration

Typically the search box configuration will disable any available options. Marmot recommends that the Repeat Search Options field is set to None. Disable any options to repeat the search.

Search Facet Configuration

The search facet configuration for search scopes is typically different than settings for an individual branch or location, since the search scope is limited to specific collections or shelving locations for a tailored audience. Please review the Searching configuration documentation for more detailed information about the functionality of the settings.

Toggle Labels

The Toggle Labels for a Search Scope Location are more specific to the search scope’s holdings. Use the Toggle Label section in the Library Location Configuration documentation as a guide for the behavior of the Toggle labels.

  • SuperScope Toggle Label

    • Label relative to the search scope’s collection

      • Example : Bemis Juvenile Collection

  • Local Collection Toggle Label

    • This field is left blank, since the search scope will be limited to only the collection

  • Available Toggle Label

    • Label following the same naming convention as the library system

  • Available Online Toggle Label

    • Label following the same naming convention as the library system if eContent is included in the search scope

  • Enable the Base Availability Toggle on Local Holdings Only option to show only what is available within the search scope.

  • If the search scope includes eContent and if that eContent should display in the Available results, enable the Include Online Materials in Available Toggle option.

  • The Facet Label value should match the value entered in the SuperScope Toggle Label.

  • Enable the Include All Library Branches in Facets option to include holdings at all of the library system’s branches.

  • The Additional Locations to Include at Available At Facet field should typically be left blank.

  • Include All Records in Shelving Facets and Include All Records In Date Added Facets are typically disabled.

  • If the library includes order records in the date added facets in other search configurations, the Include On Order Records in All Date Added Facet Values should be enabled. If not, this option should be disabled.

Typically, unique Facets are not configured for individual search scopes. If these are configured, follow the Facets configuration documentation here.

eContent Configuration

eContent titles are typically excluded from search results for search scope configurations, since search scopes are helpful to easily find physical holdings that meet specific criteria e.g. children’s materials owned by all library branches in a system.

If eContent is included in search results, the content can be limited by audience to populate with results that are appropriate to the search scope.

Overdrive

Selecting the Enable Overdrive Collection option will include all OverDrive titles that the library system has access to in search results. Use the Include Audience options to limit which audience appropriate titles will display in the search results.

Reference the OverDrive settings in the Location Configuration documentation for more detailed information.

Hoopla

To include Hoopla titles that are audience appropriate to the search scope, individual values should be set for each available format type with one of the audience options enabled. The Hoopla sideload also has to be included in the Records Included for the search scope to display.

Records Owned and Included Configuration

The records owned and included configurations are the main functions that control what displays in a given search scope location; these settings limit what displays in the search results.

The basic functionality of the Records Owned and Included configuration is detailed in the Records Owned and Included Configuration documentation.

Marmot staff recommend that library staff contact Marmot regarding the records owned and included settings, since the configuration can be more complex for search scopes.

Records Owned

The Records Owned value is typically several individual shelving locations or a regular expression that includes several different locations that follow a pattern.

Records to Include

The Records to Include table is used to include other collections in search results, such as ILS holdings from other libraries or eContent collections. Typically, search scope locations don’t include holdings from libraries other than the owning library system.

The Include library records to include option should not be enabled for search scope locations.

Library System configuration to include search scope

To include the location search scope in the search source drop down menu, the code assigned to the search scope location is entered in the Other Libraries or Locations to Repeat In field in the Library System configuration.

Unique Pika interface for a Search Scope Location

Submit a service request in the Marmot Help Desk to create and configure a unique interface for a Search Scope Location.

If Marmot manages DNS for your library, Marmot staff will configure the DNS.  If your organization manages their own DNS, your system administrator will need to configure the DNS and coordinate with Marmot staff.
